Can I cancel, change, or add participants to my group?
Yes, any cancelations or changes BEFORE January 27, 2019 is free. However, after January 27, 2019 will result in a $50 adjustment fee and any registration changes/cancels after February 28 will result in a $200 adjustment fee.
If you have a person who cancels for whatever reason, the best scenario is for you to replace that person with another person of the same gender. If that cannot happen, we ask you to contact us ASAP to make sure room arrangements are taken care of. Contact us by: email@example.com.
What if there is bad weather we will ever cancel the conference?
Short answer, no matter what the weather we will have the conference.
Longer answer, due to the fact we cannot predict the weather and groups are coming in from all over the nation with all forms of transportation, canceling the conference would be very difficult. We had to reserve several things years in advance, so we cannot reschedule them. Even if we have just 20 people we will still have the conference in some form.
Will there be supper provided on Wednesday, April 3 (first day of the conference)?
Yes, It is included in your cost. Lunch, however, is on your own. Breakfast on April 7 (the last day) is also provided.
Can we come early or stay late?
Yes, you can come early. There will be a $25 fee per night per person added to your total. However, there will be no meals provided for by the camp until Wednesday's supper. There will be breakfast on Sunday morning provided. After that, you will need to go to town (Santa Fe is 20 min) for all meals (or buy sandwiches beforehand).
What time does everything start on Wednesday?
Since Wednesday is a travel day groups can arrive at any time. Official check-in starts around 2 pm. There will be supper provided but the first session does not start until 8 pm.
Is there Wifi at Glorieta?
Yes, they have a free wifi available inside or close to most of the buildings. However, out in the woods, there is none... surprise, surprise...
Can my group reserve less than 4 people to a room?
Most housing situations will consist of 4-6 people in the same room (with bunk beds). We will coordinate with the Lead Youth Worker to make sure there are enough people in each room. If a group wants a room (an adult sponsor brings their family or other situations) we will work with that group for a separate price. Is there a fridge or microwave in the room?
Does the camp provide bedding or towels?
Sorry no, you will have to bring your own bedding and towels. If you are flying we recommend shipping bedding to the camp a week before OR purchase sheets/pillows at a store in Santa Fe OR have a couple drive your luggage to you and provide them with a few vacation days at the camp (all non-participating support staff like drivers will be $295 for food and lodging for the week).
Can my bus driver stay at the camp?
Yes! We have rooms available for all bus drivers or support staff. It will be $295 for everything which includes lodging and food at the camp for all 4 nights. You will need to let our registration coordinator know if you need a room. They will need to bring their own bedding, however.
Is there a shuttle service (to and from the airport) if we fly in?
Yes. For a fee of $25 per person for a one-way trip and $50 for a round trip. We will pick you up and drop you off in whatever airport you fly into. Santa Fe is a 20-minute drive and Albuquerque is a 1 hour and 20-minute drive. If you are interested in our shuttle than you will communicate with our registration coordinator when we confirm your numbers and being to coordinate housing.
We are flying in what do we do with our bedding?
Since the camp does not provide any bedding we have some ideas: One, get 1-2 big suitcases and put all bedding into that which saves money. 2. Ship your bedding to the camp the week beforehand. 3. Have a friend or even retired couple drive all your luggage and bedding out there and back. They get to stay for a relaxing vacation during the trip and it might save you hassle with checking luggage. 4. Purchase items at a local store (Santa Fe is 20 mins away) however there might be limited items available if hundreds of students use this option.
Where do our buses park when we get there?
No matter what time you get there we will have our registration crew waiting to greet you! There is the main entrance where you will end then take the first right. A little down the way you will see the big main building with a cross on top. You will park in the back parking lot and that is used only for travel vehicles and buses.
Will we need our vehicles during YouthCon?
YouthCon is all inclusive! Which means everything you need or really want is on site. No need to "drive to town" or pick up something since everything you need will be onsite. So once you arrive you won't need to worry about your bus or vehicle until you leave!
How does payment work?
Payment is easy. One church means one payment. Basically, each person (adult or student) pays directly to their church (that is why everyone has to register through a church). Then our registration coordinator will be in contact with the Lead Youth Worker from each church. They will confirm your numbers, make any changes, answer questions, share housing needs, confirm all people over 18 who needs to take ministry safe (see below), and then give you a final invoice. Your church will then need to pay by check (make each check out to "USMB" with Youthcon in the memo). Your payment is not due when you register but after you receive the final invoice from our registration coordinator.
How will the "one free ticket" work if I am part of the Youth Worker Network?
Any church who had a youth worker join part of our National Youth Worker Network before our December 2018 deadline receives one free ticket to YouthCon 2019. We will simply show the discount of $395 off your church's final invoice. Each church is responsible for how that discount gets distributed within their own group.
Can my group come early?
Yes! There is a chance for your group to go 1-2 days early (if your travel plans force you to). It will be $30 per person per day. The only downside is there will be no meals provided until the convention starts. There is however many restaurants within driving distance and you can purchase food at a local grocery store as well. Besides Registration, is there any other costs to the conference?
Registration covers the cost of lodging, food, and activities. The only thing you would need to bring extra money for is the coffee houses and souvenir shops that Glorieta provides. Everything else is provided for.
